Title: Property Administrator (Full Time)

Location: Belleville, NJ

Compensation: $60,000 - $72,500 Base

Our client is a rapidly growing Real Estate firm specializing in healthcare and medical facilities. They are looking to add a Property Administrator to be based out of their Belleville, NJ office. The Property Administrator provides admin and operational support to the assigned Property Manager(s).

The Role:

  • Represent the Property Management Team with key clients and Tenants. Arrange for services and resolve issues.

  • Coordinate the efforts of vendors and contractors in a busy environment and help drive tenant satisfaction.

  • Create and maintain an accurate and efficient filing system for tenant files, lease files, lease termination, management agreements, vendor files, service agreements, vendor certificate of insurance, maintenance contracts, policies and procedures manuals, property/portfolio manuals, tenant manuals, and electronic files.

  • Coordinate the administration of building amenities.

  • Execute procurement and payment processing and resolve issues.

  • Process tenant billings and follow up with collections. Assist tenants to understand invoices and improve collections.

  • Process invoices for portfolio properties on a regular basis.

  • Handle any and all administrative related tasks.

  • Assist in preparing the Annual Operating Budgets for the Property.

  • Help to track actual and committed expense, preparing budget variances.

  • Prepare business expense reports and ensure that all expenses are submitted for approval within one business day of receipt.

  • Assist in reviewing tenant lease provisions pertaining to tenant services, coordinate the provision of such services and drive tenant satisfaction.

  • Create and maintain visual presentations, flyers, direct mailings, newsletters, and other marketing materials while adhering to the Company's strict graphic standards on all documents and presentation materials.

  • Maintain YARDI database working with leasing admin including adding new tenant, lease, and billing information, as well as management agreement and lease agreement abstracts.

  • Audit tenant lease files and tenant insurance certificates to assure compliance with company policies and procedures.

  • Schedule and coordinate complex travel arrangements including airfare, hotel accommodations, and ground transportation.

  • Assist with special projects as needed.

The Person:

  • High school diploma or GED required, College degree preferred, in a related field.

  • Minimum 5 years of experience in commercial real estate as a property administrator or equivalent.

  • Advanced proficiency with MS Office is required, experience with Yardi is preferred

  • Professional, neat appearance

  • Maintain a positive work atmosphere with customers, clients, co-workers and management

$60,000 - $72,500 Base + Benefits + Bonus
