Title: Lease Administrator

Location: Bergen County, NJ (HYBRID)

Compensation: $75,000 to $85,000 base salary + benefits

Our client is a family-owned commercial real estate firm, specializing in shopping centers, retail and industrial properties across the country. They are looking for a talented Lease Administrator to join their team in Bergen County, NJ.

The Role:

  • Administer new lease agreements, which includes creating summaries, preparing documents for signing, ensuring all tenant requirements are met upon execution, sending fully executed copies to tenants with a welcome letter, coordinating move-in logistics, and entering all details into the MRI system.

  • Act as the primary point of contact for tenant inquiries and maintenance requests, liaising with relevant departments to oversee and track resolutions from start to finish.

  • Monitor tenant Certificates of Insurance, Certificates of Use, and licenses to ensure compliance with lease terms, maintaining a system to track expirations and generating executive reports as needed.

  • Support and monitor landlord and tenant improvement projects in coordination with the Construction Manager, ensuring adherence to schedules and conditions, and collaborating with accountants as required.

  • Review, audit, and enforce lease terms for tenant-related issues, including drafting notices and responding to tenant queries.

  • Manage and update all lease-related dates such as expirations and option deadlines, coordinating with departments to ensure tenant maintenance obligations are met according to lease agreements.

  • Assist with company special projects and tasks as assigned.

  • Review and prepare lease CAM calculations, insurance documents, real estate tax reconciliations/estimates, and related correspondence.

  • Maintain and update tenant files in the MRI database with relevant lease and correspondence details.

  • Keep tenant contact information current and assist in collecting overdue rent payments.

  • Support executive management reporting and contribute to annual budget preparation.

  • Cultivate positive relationships with tenants and vendors to promote a collaborative environment.

  • Undertake additional projects and responsibilities as required.

The Person:

  • Bachelors or Associates degree required.

  • 5+ years of experience in lease administration in commercial property

  • Must be able to independently examine/interpret lease documents, with complete understanding and compliance with terms and conditions.

  • Proficiency with MRI, MS office and Adobe

  • Strong written an verbal communication skills

  • Ability to self-manage, work independently and as a team.
