Commercial Real Estate Executive Assistant
A successful real estate investment and management company focusing on commercial assets is looking to hire an Executive Assistant to the President. This candidate will be a key member of firm operations and execution.
Responsibilities
·Act as a liaison, ensuring the team is well-informed of upcoming commitments and responsibilities.
·Schedule and organize meetings, conference calls, and departmental activities
·Provide comprehensive administrative support to colleagues and team members as needed, ensuring smooth operations and efficient workflow.
·Strategically booked and managed calendar, appointments, and task lists
·Organize and manage all aspects of travel from beginning to end, including booking all ground transportation and hotel accommodations, conference room arrangements, and miscellaneous reservations.
·Assist executives in preparing for meetings and travel by identifying the purpose of meetings, drafting agendas, compiling background materials and briefing documents, coordinating follow-up activities, and ensuring timely completion of scheduled commitments
·Acted as liaison between named Partner and clients by managing all incoming calls and emails, providing information in response to requests, and exercising judgment when filtering inquiries
·Scheduled meetings and managed calendars for the Partners, Associate, and other team members
·Draft and implement revisions to PowerPoint presentations, Excel spreadsheets, and Word documents, including internal memorandums, pleadings, and contracts.
·Prepared and distributed material for meetings
·Prepare and record minutes for meetings.
·Processed detailed expense reports for all employees in a timely manner
·Maintained organization of meeting materials for Partner and escalated action items as necessary to ensure timely completion of priorities
·Maintained a list of conferences for the company, reviewing periodically to suggest attendance
·Assisted with outreach efforts to investment bank intermediaries, potential companies, experts, and executives by writing letters, tracking responses, and scheduling
·Answered incoming calls for all employees and distributed all incoming mail and deliveries
·Greeted incoming guests and guided to appropriate conference rooms as necessary
Qualifications
·Proficient in Microsoft Office (Excel, PowerPoint, Word, SharePoint)
·Deep understanding of DocuSign and Adobe Acrobat.
·Experience in Commercial Real Estate while not required is ideal.
·Able to maintain professionalism while interacting with all.
·Collaboratively interact with the leasing and accounting team as well as investors and external business associates
·Excel in managing multiple projects concurrently with strong detail, problem-solving, and follow-through capabilities
·Maintain confidentiality and adhere to the highest professional and ethical behavior
The Fair market Assumption for this role's base salary is between $100,000 and $125,000 annually.
The above salary range represents Cobalt's good faith and reasonable estimate of the possible base compensation range at the time of posting and is one part of the total rewards package this client provides to employees.
